At Vexa Media (Pty) Ltd ("Vexa Media", "we", "us", or "our"), we are committed to delivering high-quality digital marketing services. We understand that circumstances may change, and this Refund Policy outlines the terms under which refunds may be issued.
1. Service-Based Nature of Our Work
Our services are professional digital marketing services that involve time, expertise, and resources. Unlike physical products, services that have already been rendered cannot be "returned." As such, our refund policy is based on the work completed at the time of any cancellation request.
2. Monthly Retainer Services
For ongoing services such as social media management, SEO, and content marketing:
- You may cancel your subscription with 30 days written notice
- Services already delivered in the current billing period are non-refundable
- Any pre-paid amounts for future months will be refunded in full
- Cancellation requests must be submitted in writing to hello@vexamedia.co.za
3. Project-Based Services
For one-time projects such as logo design, brand identity, or website development:
- A full refund is available if the project has not yet commenced and no work has been delivered
- If work has begun, the refund will be calculated based on the percentage of work completed
- Once a final deliverable has been approved by the client, no refund will be issued
- Design revision rounds included in the scope are not grounds for a refund
4. Advertising Spend
For Google Ads and paid social media campaigns:
- Advertising spend paid directly to advertising platforms (Google, Facebook, etc.) is non-refundable by Vexa Media
- Our management fees are subject to the monthly retainer refund terms above
- Unused advertising budget held by Vexa Media will be returned upon cancellation
5. Satisfaction Guarantee
We pride ourselves on client satisfaction. If you are not happy with our services, we encourage you to contact us first so we can address your concerns. We will work with you to find a resolution before any cancellation or refund request is processed.

All refund requests will be reviewed within 5 business days, and approved refunds will be processed within 14 business days.
7. Exceptions
Refunds will not be issued in the following circumstances:
- Dissatisfaction with marketing results that are influenced by factors beyond our control (market conditions, competition, platform changes)
- Failure to provide necessary information, content, or approvals in a timely manner, resulting in project delays
- Breach of our Terms and Conditions by the client
